Refunds, cancellation, and missed briefings

Eligibility

Refunds apply to commissioned studies and briefings invoiced by Terminal Flowhub. Website reading is free. Informational rates are not prepayments.

Before we open your files

If you cancel in writing after paying a deposit and before we confirm that cleaning has started, we return the deposit in full within fourteen days, minus any bank return fee our bank actually charges.

After cleaning has started

Time already spent on mapping units, writing the cleaning log, or drawing draft charts is not returned. We will invoice that time against the deposit at the same overall rate as the scope. Any unused remainder of the deposit is returned within fourteen days of our written account. If the time already spent exceeds the deposit, we will invoice the difference up to the work done, and not beyond the agreed fee.

Draft accepted, briefing not yet held

The remaining balance is due before the sitting. If you cancel after accepting the draft pack, the fee for the pack stands. The briefing portion — one quarter of the study fee unless the scope says otherwise — can be returned if you cancel at least five working days before the booked sitting. Later than that, the briefing portion is kept, because the week was held.

No-show

If nobody from your side attends a studio, on-site, or online briefing and you have not postponed in time, the briefing portion is not returned. We will keep the pack available and can rebook once within thirty days for a rescheduling fee of 400 GEL, subject to diary space.

Rescheduling

You may move a briefing once at no charge if you write at least five working days ahead. A second move, or a move inside five working days, attracts 400 GEL unless we caused the change.

Print packs and materials

Printed charts prepared for a Tbilisi sitting are part of the fee. If you cancel after print, we do not add a paper charge, and we do not refund a separate materials line because none is billed. Collect unused print at Level 8, 24 Tsereteli Avenue, Tbilisi 0159, or we recycle it after thirty days.

Work we do not refund as if it were unused

Definitions already written, caveats already placed, and charts already reviewed with your numbers owner are completed work. We do not unwind those pages because a later internal meeting changed the question. A new question is a new scope.

Write to hello@terminal-flowhub.digital with the study name and the invoice number. You may also telephone +995 32 555 4160. We confirm the calculation in writing. Returns are made to the same account that paid, in GEL, usually within fourteen days after we agree the figure. We do not offer store credit.

Exceptions

If we cancel a sitting for reasons on our side, we rebook at no charge or return the briefing portion, at your choice. If law in Georgia requires a wider return, that law prevails.
